Case study · Meridian IP Works
How a 3-hour weekly task became a 15-minute one
Ravi Shankar's team was re-typing the same client details into every form for every new filing. Pre-filled documents from IPR Manager stopped that — and removed a whole category of errors along the way.
The challenge
Every new filing meant typing the same client details all over again.
For every new patent application, Meridian IP Works had to prepare Form 1, Form 3, and Form 26. Each form needed the same information — applicant name, registered address, nationality, inventor details. Three forms, same data, typed separately every single time.
With 15 to 20 new filings each month, associates were spending hours each week doing nothing but copy-pasting client details from a spreadsheet into PDF forms. It was clerical work, not IP work.
Then one Form 26 went out with a client's old registered address — the one before they relocated. Nobody caught it during filing. The error showed up months later when a correspondence came back undelivered. It was a small mistake. But it was the kind that should not be possible in a careful practice.
“We were careful. We checked everything. And still, one old address slipped through on a Form 26. That is when I understood — careful is not the same as systematic.”
Company overview
Meridian IP Works
Meridian IP Works is a Bengaluru-based patent prosecution firm that works with technology and electronics clients across India. Ravi Shankar and his team handle 15 to 20 new patent applications each month, along with FER responses, renewals, and hearing support. At that volume, form preparation had quietly become one of the biggest time costs in the practice — without anyone noticing until they counted the hours.
- Client details copied from a spreadsheet into each form by hand
- Form 1, Form 3, and Form 26 prepared separately for every new filing
- Any address change meant updating every pending form one by one
- Inventor signatures chased through WhatsApp after forms were ready
- Forms generated from the Case record — client data auto-populated
- All three forms for a new filing ready in under two minutes
- Address updates on the Case record flow into all linked forms
- Signature requests sent and tracked from the same screen
- 1
Client data lives in one place
Applicant name, address, nationality, and inventor details are stored once on the Case record. Every form pulls from the same source — no copy-pasting.

Select form type, review, export
Choose Form 1, Form 3, Form 26, or others. IPR Manager pre-fills all standard fields from case data. Review what is specific to this filing, then export as PDF.

Signatures without the chasing
Inventor and applicant signature requests go from the same screen. Status is tracked. Nothing gets lost in a WhatsApp thread.

Operational outcomes
What changed when forms stopped being manual work.
The time saving was real. But the bigger change was quieter — it was the end of a low-level worry that had followed every filing.
- Around 6 hours per week recovered from form preparation
- Around 90% fewer data-entry errors in forms since adoption
- 15+ forms generated automatically each month
- Associates now spend that time on prosecution work, not copy-pasting
- New filings ready faster — clients get confirmation sooner
- Ravi added 3 new client accounts without increasing headcount
In short
Meridian IP Works adopted IPR Manager to solve a problem that looked small: re-typing the same client details into multiple forms for every new filing.
Today, Ravi Shankar's team generates pre-filled forms from case data in under two minutes. The time is back. And the error that used to require careful checking is simply not possible anymore.
“Now I do not worry about form data. I used to read every field twice before filing. That habit is still there — but the worry behind it is gone.”
