IPR Manager·Crinoid Technologies

Refund & Cancellation Policy

Last Updated: August 11, 2026

This Refund and Cancellation Policy explains how cancellations, refund requests, billing corrections, and payment-related issues are handled for IPR Manager subscriptions and paid services operated by Crinoid Technologies Pvt. Ltd. It should be read together with the Terms and Conditions and Privacy Policy.

IPR Manager is a software-as-a-service platform. Paid access may be provided through monthly mandate subscriptions, yearly prepaid one-time payments (solo only), trial-to-paid flows, UPI, cards, banking infrastructure, and related payment-provider systems. Because billing status, mandate status, provider confirmation, internal entitlement, and account access may update at different times, refund and cancellation requests are reviewed manually and in context.

For billing, subscription, cancellation, payment, invoice, or refund questions, write to billing@iprmanager.com. For general support or account questions, write to support@iprmanager.com. You may also call +91 78147 92998 (Monday–Friday, 11:00–17:00 IST).

1. General Refund Position

Subscription fees and paid-service charges are not automatically refundable merely because a subscription was unused, partially used, forgotten, no longer needed, downgraded after renewal, cancelled after the renewal date, or no longer aligned with your business requirements. Access to a paid plan is made available for the relevant billing period once payment is processed and entitlement is granted, subject to the Terms and Conditions.

At the same time, we recognize that genuine billing errors, duplicate payments, unauthorized transactions, provider issues, or material service problems may require manual review. The current product and billing policy is operator-led: refund requests are reviewed by our team, may require verification, and are generally expected to be raised within seven (7) days of the relevant purchase or renewal charge unless a different period is expressly stated at checkout or required by applicable law.

Submitting a refund request does not guarantee approval. We may approve, partially approve, reject, request more information, issue a billing correction, provide a credit, or suggest another remedy depending on the facts, provider records, account status, subscription history, access logs, and applicable law.

Yearly prepaid vs monthly mandate

Monthly mandate: Cancelling in-product usually stops future recurring debits; it does not automatically refund the current month. Refund requests follow the general rules in this policy.

Yearly prepaid (solo): You pay the full year upfront in one transaction at the yearly price shown at checkout (currently about 15% below twelve monthly payments for Starter and Professional). There is no monthly auto-renew to cancel at your bank — your plan runs until the prepaid term ends. Refunds for unused months are not automatic. We may still review requests within the seven-day window (or as required by law) for duplicate charges, billing errors, or other circumstances in section 3. Letting a yearly plan expire without renewing is not a refund request.

Firm (organisation): Firm plans bill monthly per team seat. A new Firm workspace includes two seats by default, so your first charge may cover two seats. Refunds follow the same general rules — cancelling stops future months but does not automatically refund the current billing period.

AI credits

AI credits are a unit of account for AI processing, not money, and have no cash value. Two rules apply, depending on where the credits came from.

Included credits (plan allowance, trial, or promotion) are a monthly or one-time allowance that does not roll over. An unused allowance is forfeited when the next monthly allowance is granted, or when a trial ends. Forfeiting an unused allowance is not a refundable event: it does not reduce the subscription fee for that period and does not create a right to a refund, a replacement allowance, or a cash payment. If a subscription ends, the allowance for the cycle already paid for stays available until that cycle would have ended and then expires.

Purchased credits (top-up packs) and referral credits do not expire and remain usable while the account is open, including after a paid subscription ends. A top-up purchase is a completed supply once the credits are granted to your workspace. Requests relating to a top-up charge are reviewed under the general rules in this Policy — most commonly a duplicate transaction, an unauthorized transaction, or a technical billing error under section 3. Where a refund of a top-up is approved, any unused credits from that pack are removed from the balance as part of the reversal.

Credits are consumed with the included allowance first, then referral credits, then purchased credits, so credits provided at no charge are always used before credits you paid for.

2. Seven-Day Review Window

If you believe a charge should be reviewed, you should contact billing@iprmanager.com within seven (7) days of the purchase, renewal, or transaction date. Your request should include the account email, organization name if applicable, transaction reference or invoice details if available, payment date, amount, plan name, and a short explanation of the issue.

Requests made after seven (7) days may still be considered where required by law or where there are exceptional circumstances, but delayed requests are less likely to be approved, especially if the Services were available, substantially used, or if third-party payment or tax processing cannot reasonably be reversed.

3. Circumstances Where a Refund May Be Considered

We may consider a refund, correction, reversal, credit, or other remedy where a duplicate transaction occurred, where a transaction is verified as unauthorized, where a technical billing error charged the wrong amount, where tax or invoice calculation requires correction, where a payment-provider issue caused an unintended duplicate debit, or where an exceptional circumstance is approved after internal review.

We may also consider a remedy if the paid Service was materially defective, unavailable, or not provided as described in a way that materially affected your ability to use the subscription during the relevant period. In that situation, you should contact us within seven (7) days of becoming aware of the issue and provide enough detail for us to investigate the defect or unavailability.

The remedy for a service issue may be a refund, partial refund, credit, extension, technical fix, support-assisted recovery, or another reasonable remedy. The appropriate remedy depends on the nature of the issue, duration of impact, account usage, plan state, provider behavior, and applicable law.

4. Circumstances Where Refunds Are Generally Not Provided

Refunds are generally not provided for unused subscriptions, partial billing periods, failure to cancel before renewal, forgetting to cancel, changes in business needs, dissatisfaction unrelated to a material technical malfunction, loss of access caused by your own failed payment or mandate cancellation, reduced functionality caused by downgrade, account restriction caused by Terms violations, subscription periods that were substantially consumed before the request, an included AI credit allowance that expired unused, or AI credits that were consumed by AI actions you or your team ran.

Refunds may also be limited or unavailable where third-party costs, taxes, payment-provider charges, bank processing, custom support, professional services, migration work, or other costs have already been incurred and cannot reasonably be reversed. Nothing in this Policy limits any non-waivable rights you may have under applicable law.

5. Cancellations

Where in-product cancellation is available, you may schedule cancellation from the billing or subscription settings. Unless the product states otherwise, scheduling cancellation generally means that paid access continues until the end of the then-current billing period, and future recurring debits stop according to the product state and payment-provider mandate lifecycle.

Cancellation does not automatically create a refund for the current billing period. It also does not remove outstanding payment obligations already incurred, reverse prior usage, delete records, or cancel payment-provider obligations that require separate provider-side handling. If you resume renewals after cancellation has been scheduled, the product may require a fresh mandate setup or checkout flow.

If you cannot access the cancellation control or believe cancellation did not work as expected, contact billing@iprmanager.com promptly with the account email, organization name if applicable, and screenshots or details of the issue.

6. Upgrades, Downgrades, and Plan Changes

Upgrades may take effect immediately or at another time shown in-product. They may involve a one-time charge, proration, mandate reuse, mandate reauthorization, or recurring amount change. If the projected recurring amount exceeds the existing mandate limit, you may need to authorize a new mandate before expanded entitlement is granted.

Downgrades generally take effect from the next billing cycle and do not create overlapping active subscriptions. In the current product policy, Professional to Starter downgrades are next-cycle only and may be undoable only until twenty-four (24) hours before the scheduled effective time. A downgrade may reduce functionality, limits, seats, document behavior, sharing, analytics, exports, and other plan benefits. Downgrades do not entitle you to a partial refund for the then-current billing period unless we expressly approve one or applicable law requires it.

7. Failed Payments, Pending Verification, and Duplicate Attempts

Payments may fail, remain pending, require reconciliation, or be delayed because of bank, UPI, card network, mandate, webhook, provider, network, or internal verification issues. A provider-side payment success and internal subscription activation are separate events and may not happen at exactly the same time.

If a payment is in pending verification or reconciliation, you should follow the product guidance and avoid repeated checkout attempts unless instructed by the product or support. Duplicate attempts during unresolved states may create confusing provider records or duplicate debits. The product may block new checkout attempts during pending checkout, pending mandate, or reconciliation-required states, including for a default cooldown period of approximately thirty (30) minutes from the latest unresolved attempt.

If a duplicate charge appears to have occurred, contact billing@iprmanager.com with the transaction references and screenshots from the payment provider or bank. Duplicate transactions are one of the circumstances where a refund or correction may be considered after verification.

8. Third-Party Payment Providers

Payments, refunds, mandates, and bank settlements may involve payment gateways, payment processors, UPI apps, banks, card networks where applicable, and other payment infrastructure. These providers may have their own processing timelines, dispute rules, settlement windows, reversal procedures, and support requirements.

Some issues may need to be raised with your bank, UPI app, card issuer, payment gateway, or another payment provider according to their terms and policies. We will review our internal records and assist where reasonably possible, but we do not control third-party payment-provider timelines, bank reversals, UPI mandate behavior, issuer declines, or provider outages.

9. Refund Processing Time

If a refund is approved by Crinoid Technologies Pvt. Ltd., it will be credited to your original payment method within seven (7) days of approval, unless we communicate a different timeline or method to you. In some cases, we may need additional verification before processing a refund.

Refund approval does not guarantee immediate credit to your bank, UPI app, card account, or payment account. Your bank, UPI app, card issuer, payment gateway, or other payment provider may apply their own settlement or reversal timelines after we initiate the refund or correction.
